Job Description:
- Administrative Support:
- Manage calendars, appointments, and schedules for senior executives.
- Coordinate travel arrangements, itineraries, and accommodation for business trips.
- Prepare and organize materials for meetings, conferences, and presentations.
- Communication and Correspondence:
- Draft, edit, and proofread emails, memos, reports, and other correspondence on behalf of executives.
- Maintain clear and effective communication channels between executives and internal/external parties.
- Handle incoming calls, messages, and inquiries with professionalism and accuracy.
- Information Management:
- Organize and maintain confidential documents, records, and files.
- Monitor and prioritize incoming communication for executives, ensuring timely responses.
- Compile data, research, and reports for executive decision-making.
- Project Coordination:
- Assist in the planning, execution, and monitoring of special projects and initiatives.
- Collaborate with cross-functional teams to ensure project milestones and deadlines are met.
- Track project progress and report updates to executives.
- Event Management:
- Coordinate company events, meetings, and conferences, including venue booking, catering, and logistics.
- Assist in planning and executing leadership retreats, workshops, and team-building activities.
- Relationship Management:
- Build and maintain positive relationships with internal teams, external partners, and stakeholders.
- Act as a point of contact for inquiries related to executive matters.
- Financial Support:
- Assist in expense tracking, reimbursement, and budget monitoring for executives.
- Coordinate financial approvals and processes as required.
- Office Operations:
- Maintain a well-organized executive office environment.
- Order and manage office supplies, equipment, and facilities.
